Photography Management System
Privacy Policy
Privacy Policy
This policy explains how Photography Management System collects, uses, stores, and shares information when photographers, clients, and visitors use our app, websites, galleries, contracts, invoices, and related services.
Effective date: August 6, 2026
Information We Collect
We collect account details such as your name, business name, email address, and login information. If you use studio tools, we may store business profile details, client records, session details, contracts, invoices, payment status, galleries, website content, forum posts, marketplace posts, notifications, and app settings.
Photos, Galleries, and Client Content
Photographers may upload photos and gallery content for client delivery, proofing, favorites, downloads, and ZIP exports. Gallery links may be shared with clients or other recipients chosen by the photographer. Published client galleries display an expiration date and may be preserved for an additional period through an eligible purchase. Photographers are responsible for making sure they have permission to upload and share their client content.
Payments and Subscriptions
Photography Management System uses third-party payment providers, including Stripe, Apple, and Google Play Billing, to process subscriptions, invoices, payment plans, gallery-preservation purchases, photographer-added preservation fees, and other client payments. We do not store full credit card numbers. Payment providers may collect payment details, billing contact information, transaction identifiers, tax information, and related fraud-prevention data under their own policies.
How We Use Information
We use information to provide and secure the app, authenticate users, manage subscriptions, publish websites and galleries, calculate gallery expiration, send permitted notifications, process contracts and payments, operate file-storage safeguards, support customer requests, improve reliability, prevent misuse, and comply with legal or platform requirements.
Service Providers
We use service providers for hosting, authentication, database storage, file storage, payments, analytics, app distribution, domain setup, and infrastructure. These may include Firebase/Google Cloud, Cloudflare, Stripe, Google Play, Expo, and analytics or diagnostic tools used to operate the service.
Website Builder and Custom Domains
When you publish a website, selected business information, portfolio content, contact details, inquiry forms, domain settings, and public page content may be visible to visitors. Custom domain setup may require sending domain information to Cloudflare or other infrastructure providers.
Account Access, Trials, and Service Operations
The app may use account, subscription, upload, download, payment, and service-usage information to determine whether an account can log in, access paid features, continue after a free trial, or use the service safely. We may measure file usage internally for reliability, cost monitoring, abuse prevention, orphan cleanup, and administration; this operational measurement is not a customer storage plan.
Sharing and Public Links
Photographers can create public or semi-public links for websites, galleries, invoices, contracts, and other client-facing items. Anyone with access to a shared link may be able to view the linked content, depending on the settings chosen by the photographer.
Data Retention and Deletion
Published client galleries are generally available for 90 calendar days from their original publication date. Unless a valid preservation purchase extends the displayed expiration date, gallery access is disabled at expiration and gallery-specific originals, derivatives, thumbnails, archives, and related metadata are scheduled for permanent deletion. Payment, refund, dispute, reminder, and deletion audit records may be retained as needed for accounting, security, legal obligations, and dispute resolution. Legal holds and documented operational exceptions may delay deletion. This gallery schedule does not automatically apply to unrelated profile images, websites, blogs, contracts, invoices, or business documents. You may also request account or data deletion by contacting us at the email below.
Security
We use technical and organizational safeguards designed to protect user data. No online service can guarantee complete security, so users should use strong passwords, protect shared links, and avoid uploading content they are not authorized to store or share.
Children's Privacy
Photography Management System is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy as the app changes. When we make material updates, we will revise the effective date and may provide additional notice where appropriate.
